Terms and Conditions

Before booking or making any adventure arrangements in Nepal with Ammonite Adventure and Treks Pvt. Ltd., we strongly advise you to carefully read and understand the terms and conditions accepted by both parties as a means of resolving any legal or other disputes that may arise during the trip.

By submitting the booking form, you acknowledge and accept our terms and conditions, including our cancellation policy, which regulates the relationship between you (the client) and Ammonite Adventure Pvt. Ltd. (henceforth referred to as “the company"), a government registered under the number 106417/069/070.

The Contract

On payment of the deposit amount, the company sends you a written confirmation of your reservation for the trip. It is crucial to review the confirmation details and promptly inform Ammonite Adventure and Treks of any inaccuracies or missing information that must include:

  • Your accurate name is as stated on your passport.
  • You are the designated contact person and responsible person for all necessary payments if you make a reservation on behalf of another participant. 
  • When making a reservation on someone else’s behalf, ensure you have all necessary permission. 
  • In the event of any adjustments or cancellations of the trip, please make sure to inform your group as soon as possible. 

Note: The company will not be held liable for any mistakes or inconsistencies in the information provided.

Booking a Trip 

The trip is any product itinerary or activity such as tours, expeditions, trekking, or any associated adventure programs that you purchase from us through our official website, where:

  • The booking becomes accepted and definite only once the company provides a receipt for a confirmation invoice or email. 
  • Upon receipt of the confirmation invoice or email, the contract between the two parties becomes officially valid and comes into force. 
  • Before reservations are confirmed and the contract comes into force, the company reserves the right to increase or lower the price of the trip or tour. 
  • Similarly, the company will not be responsible for any additional warranties, collateral agreements, past agreements, descriptions of services, or terms other than those explicitly stated in the contract.

Depositing to Book a Trip

A deposit is required at the time of trip booking to secure your reservation, which must be fully paid before the commencement of the trek. Acceptable methods include bank transfers, credit or debit cards, and cash in hand as well. 

For Trips in Nepal

For Nepal Trips, a deposit equivalent to 10% of the total trip cost is required at the time of booking, which will be specified depending upon the duration, difficulty, and departing date upon your booking confirmation, payable upon your arrival in Kathmandu, Nepal. 

For booking Trips in Tibet or Bhutan

To book trips to Tibet or Bhutan, you will have to deposit 50% of the total cost, some of which might even ask for a full payment right at the time of booking. Nonetheless, the remaining 50% should be paid in USD or credit card 20 days before the trip departure date, which is payable in Kathmandu, Nepal.

Payment Methods

We accept:

  • Visa Card, Master Card, American Express, and Union Pay 
  • A 3.5% levy will be added to the card processing fee that is not affiliated with the total cost of the trip, and we do not hold any responsibility for it. 
  • To avoid the 3.5% bank service charge fee, it is advisable for you to bring cash, USD, or any other hard currency convertible foreign currency for the final payment. 

To Make the Final Payment

Trips to Nepal

Final payment for trekking, touring, climbing expeditions, jungle safaris, nature excursions, or any kind of trip in Nepal can be made upon arrival in Nepal and must be completed before the departure day. 

However, we recommend you confirm the details of your journey, including the itinerary, inclusions, and any other extra services you have requested before making the final payment along with cash in USD or any other convertible foreign currency f to avoid a 4% levy. 

Bhutan and Tibet Trips

Like making the final payment for trips to Nepal, the complete payment for the Bhutan and Tibet trips must also be made before officially departing for the trip upon arrival in Nepal. This can be done with a credit card such as American Express, Visa, Master Card, or by bank transfer. 

Please note that if you use a credit or debit card for the trip's final payment, you will have to pay a 3.5% surcharge as well. Hence, it is a good idea to bring hard currencies such as USD or other convertibles.

Last Minute Booking

  • Based upon availability, we accept last-minute reservations up to 10 days before the trip departure date for trips to Nepal. 
  • With full payment for Bhutan and Tibet trips, we can accept last-minute bookings 20 days before the tour departure date.

Trip Cancellation and Refund Policy 

Ammonite Adventure and Treks offers a transparent cancellation and refund policy, considering operational obligations and trek planning in Nepal, Tibet, and Bhutan as described below:

Trip cancellation made by the Client 

If a client wishes to cancel their reservation, they must notify Ammonite Adventure and Treks in writing with a valid reason via email or letter, where the cancellation date is determined based on the date of the receipt notification. 

A cancellation charge is applied based on the number of days before the scheduled date of the trip, which is as follows:

  • 60 days more: The deposited amount is non-refundable; however, you can choose a similar trip within one year. 
  • 30-59 days: 25% of the cost of the service booked is charged if the cancellation is between 30 and 60 days. 
  • 20-29 days: When you cancel between 20-29 days before departure day, you will have to pay 45% of the total trip cost. 
  • Less than 20 days: No refund is provided; you will be charged 100% of the total trip cost as a cancellation fee for the services booked. 

Cancellation of Tour by Company

The company reserves the right to cancel or modify trips in the rare occurrence of unforeseen circumstances such as natural disasters or political unrest, where clients are free to choose alternative trips or a full refund, excluding the non-refundable deposit expenses already incurred, which are 10% of the total trip cost for trips to Nepal and 50% for tours to Tibet and Bhutan.

Rescheduling the Trip

On an urgent need to reschedule the trip to Nepal, Bhutan, and Tibet, please provide us with the details of your current booking and written reasons for rescheduling via email exactly 20 days before the trip departure. 

If you wish to transfer your trip to another person, prepone or postpone it, an extra USD 200 can be charged to you, and you will be held accountable for transferring the trip to her. 

Passport, Visas, and Tourism Royalty

  • Most nationalities are facilitated to obtain a tourist visa upon arrival at the Tribhuvan International Airport in Kathmandu or the border by possessing a valid passport with a minimum of six months’ validity from the return date to enter Nepal. To obtain a Nepalese tourist visa, please fill out the form available at the Department of Immigration.
  • As per trips to Bhutan and Tibet, it is unlikely to be granted a direct visa. Ammonite Adventure and Treks Pvt. Ltd. obtain all the necessary permits and visas for you, including the royalty fees that are applicable in certain restricted and protected areas only as per Nepal, which are compulsory for touring in Bhutan, upon providing a valid passport with at least 6 months of validity. 

Responsibility and Liability

Although every precaution is taken to ensure the safety and well-being of our clients conducting each tour and trek, following the rules and regulations issued by the tourism board of the respective country, trekking in the Himalayas always carries some inherent risks. 

The Ammonite Adventure and Treks family, including its guides, employees, and affiliates, shall not be liable for any loss, harm, damage, or delay resulting from factors beyond our control, such as natural disasters, political instability, or personal negligence. 

The Code of Conduct

Throughout the journey to the Himalayas, clients are anticipated to adhere to the regional traditions, cultural standards, and environmental preservation guides, showing respect to the local communities, wildlife, and ecosystem. 

Therefore, get permission before capturing anything in photographs, just like our guide or staff. They may click on your photos and videos to use them as resources to advertise our company on social media and our website.
